Terms & Conditions
Please take the time to read and understand the conditions of booking set out below prior to booking a trip with us. We strongly recommend that you also read the Essential Trip Information relating to your trip prior to booking to ensure that you understand the itinerary, price, style and physical demands of the trip you are undertaking.
BOOKING AND PAYMENT
For the booking process, you must send us a completed booking form along with non-refundable deposit for all Nepal , Bhutan and Tibet trips. We require you to fax or e-mail a copy of your passport to our Kathmandu office at 00977-1-4260802 or at [email protected], After receiving a copy of your passport and the completed booking form with your non-refundable deposit we will send you final confirmation receipt.
DEPOSIT (Non- Refundable)
You are required to pay a non-refundable deposit of 30% of the total amount per person per trip for your booking to be confirmed.
The Condition for clearing the remaining balance as per the trip booked is as follow:
- The remaining balance for all Nepal Trips can be cleared upon your arrival.
- The remaining balance for Bhutan, Tibet and all multi-country tours needs to be cleared 35 days prior to your departure date.
- Himalayan Trekking reserves the right to cancel your trip if the full amount is not paid on time.
- We even accept last minute booking. You can book a trip to Nepal 10 days prior to the trip departure dates. Last minute booking may not acceptable in case of Bhutan or Tibet trip.
BANK & CREDIT CARD PAYMENT CHARGE
A bank service charge may apply and should be paid at the time of deposit. Also a 4% levy will be added for card processing fee as service charge by the Bank.
TRIP CANCELLATION
Nepal Trips-In case you intend to cancel your trip for any reasons, you need to write it to us 25 days prior to your trip departure date. We shall approve it as cancelled only after receiving a valid written notice from the client. We will not charge you any cost but a deposit amount is non refundable.
Bhutan Trips- A valid written notice of cancellation should be provided 30 days prior to your trip departure date. In case you cancel your Bhutan tour, 20% of the trip cost will be charged as a cancellation charge. The Deposit is not refundable.
Tibet Trips- A valid written notice of cancellation should be provided 30 days prior to your trip departure date. In case you cancel your Tibet tour, 20% of the trip cost will be charged as a cancellation charge. The Deposit is not refundable.
PASSPORT & VISAS
All clients must have a valid passport with at least 6 months validity from return date to travel Nepal, Tibet & Bhutan. Nepalese visas can be obtained from the Nepalese Consulate in your country or upon arrival in Kathmandu Airport. Nepalese visas costs are the sole responsibility of clients.
As you are unable to obtain visas to Bhutan & Tibet you need to send your passport details to Himalayan Trekking for visa applications at least 30 days prior to the departure date.
TRAVEL INSURANCE
Travel insurance is compulsory for all Clients undertaking any tour. It should provide adequate protection for the full duration of the tour to cover personal injury, death, medical expenses, repatriation expenses, helicopter rescue, air ambulance and adequate cover for baggage.
FLIGHT DELAY OR CANCELLATION
There is the possibility of a flight delay or postpone due to bad weather in the Himalayan regions which could be happened in particular airports, Lukla Airport in Everest region Jomsom airport in Mustang, Juphal Airport in Dolpa, Simikot and Jumla region airports.In this case, you’re highly advised to reserve extra days to prepare for some delays and avoid frustrating consequence. In case of flight cancellation pre-tour/post-tour, you need to meet your accommodation and food costs yourself.
RIGHTS TO AMEND THE ITINERARY IF REQUIRED
Tour once commenced will strictly go as per the itinerary finalized. In case of events and circumstances beyond our control, we reserve the right to change all or parts of the contents of the itinerary for safety and well being of our esteemed passengers.
HEALTH & FITNESS
All our tours and treks require a level of fitness, there for you should always check with your local GP regarding your health and fitness before you travel. It’s the client’s responsibility to notify Himalayan Trekking of any pre-existing medical condition and/or disability that might reasonably be expected to increase the risk of you required medical attention, that may affect your ability to travel.
INJURIES AND EVACUATION
Himalayan Trekking would not be liable for any injury/health conditions/emotional or other conditions suffered by the client during the trip. Similarly, our package cost does not include any personal insurance. Hence, we advise the clients to take adequate insurance packages, including medical emergencies and evacuation by Helicopter.
RISK & LIABILITIES
We are committed to providing the best services which will give you a “once in a lifetime” journey. So, we perform our duties honestly and seriously to achieve our commitment. However, the entire program is conducted strictly under the rules and regulation of their own policies.
Therefore, Himalayan Trekking and its related organization shall not be responsible for any changes in the itinerary due to unavoidable circumstances such as government restriction, notorious weather, road blockage, political unrest, cancellation of flight, delay, sickness or accident, any natural disaster (earthquake, landslide, flood, snowfall, avalanche, etc) or other things beyond our control. But we will try our best to take you to safety from any kind of danger. Any extra cost incurring thereof shall be borne by the clients on the spot.
INCOMPLETE OR EARLY COMPLETE TRIP
No refund will be made to clients who drop out from the journey regardless of whatever portions remain unused in the itinerary and who finished the trip earlier days than mentioned in the itinerary.
COMPLAINTS
Should you have a complaint about the trip or tour you must make it known to a tour leader or guide at the earliest opportunity who will take the appropriate action.
